The purpose of the Nativity School Budget Goal is to provide
Capital Cost and Operating Expense information related to Technology
at the Nativity School for the purpose of Planning and Decision Making.
This Budget Goal has two main Objectives:
1) Managing Year on Year Technology Operating Expenses through
the development of the Nativity School Technology Operating Budget
Framework-(First Draft Attached)
2) Facilitating an informed approach to Technology investment through
the development of the Nativity School Technology Capital Investment
Framework including 5 year Cost Model- (First Draft Attached)
December 18, 2008 Met with Greg Moser and Rita Buhr to review Draft versions of both Technology Capital budget planning worksheet and Operating Budget worksheets.
Intro:
We opened the meeting with a discussion about developing a lifecycle approach to Technology Budgeting at Nativity (see attached diagram)
Draft Capital Planning Budget worksheet review:
We reviewed the format and content of this capital planning tool and how it could be used to estimate 5 year cost (both Capital and Operating Expense) for new investments in technology. The value of this tool includes the following:
a) Supports better decision making regarding IT Investments by identifying total lifetime cost estimates for the investment
b)Helps to insure that appropriate Capital and Operating expense funds are allocated to install and support the investment
c) Coupled with an inventory, can help serve as a basis for a Capital Asset management program to insure that IT equipment is "refreshed" according to a plan and consistent with the goals of the Nativity School
d) Feeds the Operating Expense Budget
Draft Operating Expense Budget worksheet review:
We reviewed the format and content of this Operating Budget tool and how it could be used for year on year budgeting. Rita Buhr brought reports from the current Accounting system which provided detailed information on IT expenses. We discussed how this tool could be used at Nativity and some of the potential benefits including:
a) Prompting the Nativity School IT resource responsible for creating the budget to ask the right questions
b) Provide a mechanism with the right information grouped into the right categories to make year on year adjustments in the Tech budget as fortunes and direction of the school naturally change
c) Perform year on year comparative analysis on changes in the budget
d) Anticipate changes to the budget
The Draft versions of both Budget tools were generally viewed favorably by both Greg and Rita with no suggested changes at this time
Next Steps:
1) Greg Moser was to take the acounting report presented by Rita Buhr and pilot the Operating Budget tool by populating it with this information.
2) Once this is done we will review the tool and discuss the gaps
